How to never miss a placement drive email
Placement emails come fast and close fast. A simple setup for Gmail and Outlook so drive announcements, test links and shortlists never get buried.
In placement season, the email that matters most often looks like every other email: a forwarded notice from the placement cell, a form link with a closing time, a shortlist sent at 11 pm. Miss one and the drive is gone. The good news is that a few minutes of setup makes these emails very hard to lose.
1. Find out exactly who sends placement mail
Open your inbox and search for the word placement, drive or shortlist. Note down every sender address that shows up: usually the placement or training cell, the T&P officer, and sometimes a portal such as Superset, Unstop or your college ERP. These addresses are what the next steps use.
2. Give placement mail its own label (Gmail)
- In Gmail on a computer, click the search options icon at the right of the search bar.
- In From, type the placement senders separated by
OR, for exampleplacements@college.ac.in OR tpo@college.ac.in. - Click Create filter, tick Apply the label, make a new label called Placements, and tick Never send it to Spam and Always mark it as important.
- Tick Also apply filter to matching conversations so older emails are sorted too.
On your phone, open the Gmail app, go to Settings, choose your account, then Manage labels → Placements and turn on Label notifications. Now placement mail can notify you even if you mute everything else.
3. The same thing in Outlook
Many colleges use Outlook (Microsoft 365) for student mail. In Outlook on the web, open Settings → Mail → Rules → Add new rule. Set the condition to From the placement addresses and the action to Move to a new folder called Placements, plus Mark as important. Then right-click the folder and pin it to Favourites so it sits at the top.
{{AD_BANNER}}4. Treat every drive email as a deadline
A drive email usually hides three dates: when to register, when the test is, and when results come out. As soon as one arrives, put the registration deadline in your calendar with an alert the evening before. Registration links often close hours before the stated time when a form hits its response limit, so register the same day if you can.
5. Check eligibility before you get excited
Read the eligibility line first: branch, CGPA cut-off, backlogs and passing year. It takes ten seconds and saves you filling forms for drives you can’t sit. Keep a note of your exact CGPA and backlog count somewhere you can copy from, because forms ask for them every time.
6. Watch out for fake placement emails
Real companies don’t ask for a “registration fee” or a payment to “confirm your slot”, and they don’t send offer letters from free email addresses. If an email asks for money, an OTP or your bank details, check with your placement cell before you do anything.
A five-minute daily habit
Once a day, open your Placements label or folder and clear it: register, note the date, or archive. Five minutes a day is far less stressful than searching your whole inbox the night before a test.
